Universal apps

The latest version of Microsoft Office is still available as a standalone suite (£ to £, depending on the edition) or as part of an Office subscription (£6 per month). However, if you have installed Windows 10 there’s another, much cheaper option: you can download Word, Excel and PowerPoint completely free from the Windows Store. These versions are so-called “universal” or mobile apps, and they are almost identical to the apps for iOS, Android or Windows Phone. They are called “universal” as they can be run on different platforms without the developer (Microsoft) having to make drastic changes to the code. Plus, they are adapted to tablet and touch use, whilst they also run perfectly in Desktop mode.

Installation. In Windows 10 simply search for Office, Word, Excel or PowerPoint in the Store and install the apps you want (around MB per app).

Tip. Don’t immediately click on a template or Blank Document to create a document when you launch an app. By default this document will be opened in the cloud in your OneDrive. If you don’t want this, select This Computer or Change Location next to the New menu.

Word Mobile: compact but efficient

In our tests we succeeded in opening all our test documents in Word Mobile without any hitches. To save documents only the “new” formats (DOCX, XLSX and PPTX) are available, but you can still open the “old” formats (DOC, XLS and PPT). However, to edit an old document, you should upgrade it to the new version first.

Tip. To save a file in PDF format, choose the Microsoft Print to PDF printer in the File ; Print menu. In Word Mobile, the Design , References and Mailings menus are absent. This means that you can’t choose themes to design your document, although this is partly compensated for by 15 templates. As far as page layout is concerned, you can change the margins, page orientation, size and columns, but not the indentation, line numbering or justification. References, e.g. for footnotes or endnotes, are not possible either, nor are lists for mailings, etc. Tip. When you click on the person icon person at the top right in an app, you can directly share the current document with others, offering the choice between viewing only or both viewing and editing.

Excel and PowerPoint: limited but useful

Excel Mobile and PowerPoint Mobile are also more limited than in their Office counterparts. Excel comes with some 20 templates, but here the entire Page Layout section is missing (background, colours, themes, etc.), and so are the Data functions which allow you to import data from other programs such as Access or from external spreadsheets; there’s no data filtering either. Conversely, you can insert dozens of different types of charts or integrate images and SmartArt, while formulas, functions and queries are present too.

In PowerPoint Mobile, you can view, edit or create PowerPoint files and imported presentations are displayed perfectly. The app comes with 20 templates and also offers, unlike the other mobile apps, support for themes. However, there are no animations.
